Every AI software decision eventually comes down to a build-vs-buy question. Off-the-shelf tools are faster to launch. Custom software is built exactly around how you work. Both are right — in different situations.

When off-the-shelf wins

If your workflow is close to how most other companies in your industry operate, a mature SaaS product will almost always be faster and cheaper than building your own.

When custom software wins

Custom AI software earns its cost when:

  • Your workflow is a genuine differentiator, not a commodity
  • No existing tool models your process without heavy workarounds
  • The software will touch a core part of how you generate revenue

The hybrid path

Most of our clients land somewhere in between: they keep off-the-shelf tools for commodity functions (email, CRM, accounting) and invest in custom AI software only for the specific processes that are unique to their business — often connected together with workflow automation.

A simple test

Ask: "If a competitor bought the exact same off-the-shelf tool we're considering, would that erase our advantage?" If yes, that's a strong signal the process is worth building custom.
